How to use spreadsheets to manage grouped team setup in large organisations

See how the grouped team spreadsheet download and upload can help you set up climate competitions in large organisations

This guide assumes that you have access to the challenge admin panel, team setup and the grouped team spreadsheet download. You’ll see the below screenshots and contents.

Download grouped team spreadsheet file

On the team setup page, click “Download an empty team spreadsheet”

You’ll get an empty spreadsheet matching your settings (language, team structure, how you group your teams). If you want, you can save and close the challenge setup and continue later. 

Fill out the teams

Now you can work on the spreadsheet and create a team structure at your own pace - maybe share it in the organisation and ask for help or get team leaders to fill in data themselves. Here are some pointers on how to set up teams successfully and pick leaders

You’ll fill out the following data

  • Column A: 
    • If you have selected a term for identifying a group of teams, like “Department” or “School”, this is displayed in this column header.
    • Create consistent groups from row 2 and down, such as one per department, school or location.
    • As per the challenge setup, all teams must belong to one of these groups.
    • Any blank cell in this column will be assumed to belong to the next group above
    • If unsure how to group teams, contact your challenge admin or Ducky.eco support.
  • Column B: 
    • Create team names from row 2 and down, preferably ones that the team members have chosen themselves or will recognise.
    • Teams should be established so that people know each other. 
    • The first few characters of each team name should be different so they can be easily identified.
  • Column C: 
    • An approx team size will give you more accurate participation rate insights inside the challenge.
    • Recommended team size is between 5 and 30.
    • If you don’t know the size of all teams yet, that’s fine. You can enter a number and edit it later.

Example of accepted formats:

Files can be accepted in Norwegian and English no matter what language you are using in the application. Norwegian special characters are accepted.

In this example each building name is mentioned only once, and the teams below each building name are assumed to belong to it.  

The building name can be mentioned for each relevant team.

A team name or approx size can be missing. This is fine for now, and the spreadsheet can be uploaded, but a team name and approx size must be entered before the challenge can be activated. See how to continue editing in the admin panel after uploading further down.

An approx team size can be larger than recommended. Everything will still work fine.


Ready to upload the file

In order for the upload to work, the file must fulfill these requirements:

  • Max size of 50 MB.
  • In .xlsx or .csv format.
  • Ensure the file has the headers as in the downloaded template:  the “Team name” and “Approx size” headers must be present like you see in the above screenshot (in either Norwegian or English). 

Then click to select your team spreadsheet and find the right file on your computer. When you’ve selected a valid file you can click “Upload”

View and edit the team set up in the admin panel 

After uploading your team spreadsheet your team names will populate the inputs on the “add teams” page in the admin panel. You can continue to make edits to your team set up here.
