E-mail template for recruiting and informing team leaders

An e-mail template summarizing the core information you need to recruit and inform your team leaders before a Ducky Challenge.

First e-mail template:
Recruiting [team leaders/ambassadors]

Hi [possible team leader/ambassador]! 

[Something about why the organization thinks sustainability is important .]

That is why we are running a Ducky Challenge, [XX dates], a team competition, where employees compete in doing simple climate friendly actions saving the most CO2e for their team. 

Ducky Challenge is a gamification tool, built to help us efficiently increase awareness and boost engagement in our organisation, helping us empower all our employees around our sustainability strategy and goals. 

The main outcome is to get as many employees to join a team and register activities. In order to ensure this, we need your help to reach all our employees - and would like you to take a team leader/ambassador role.

What what would be your role as a [team leader/ambassador]?

As team leader/ambassador we need you to be a bridge between your [team/company], and us as coordinators of the competition, to help us set-up, communicate and engage the whole organisation. This is what we need help with:

  • Help setting up pre-defined teams, so every participant can find one and join one. We are a large organisation, so you will be responsible for setting up the team structure and team names of your [department/company] . You'll get a link to the admin-tool! 
  • Help informing your [team/company] about the competition to anchor why we do this in our [team/company], a week before the competition starts;
    • eg. hanging up posters and set up live-screens to follow the competition live a week. 
    • spreading the invitation link and help videos in relevant channels
    • help arranging a physical/digital kick off on the start date

Depending on [team/company] size, estimated to take total of 2-4 hours spread out over some weeks. You'll get an invitation to an ambassador information meeting, going through all you need to know in your role 6 weeks before and give you access to resource material to use.

Informing [team leaders/ambassadors]

Hi [team leader]! 

Thanks a lot for joining as an [ambassador/team leader]! You are a key for us to reach out to all our employees. 

Here are some more information about the tool it self and the tasks we need help with. 

Task we need help with

As team leader/ambassador we need you to be a bridge between your [team/company], and us as coordinators of the competition, to help us set-up, communicate and engage the whole organisation. This is what we need help with:

  • Help setting up pre-defined teams, so every participant can find one and join one. We are a large organisation, so you will be responsible for setting up the team structure and team names of your [department/company] 
    • You will get a 45 min ambassador information meeting 6 weeks before the competition, helping you with everything you need to know for the role. 
    • You will receive a link to the admin-tool, where you set up the teams, 2-4 weeks before the competition. 
  • Help informing your [team/company] about the competition to anchor why we do this in our [team/company], a week before the competition starts;
    • eg. hanging up posters and set up live-screens to follow the competition live a week. 
    • spreading the invitation link and help videos in relevant channels
    • help arranging a physical/digital kick off on the start date

You do what you feel you've got time for - but this is a time where you can build on your internal engagement for the cause. Here are some additional tips:

  • Help ensure engagement during the competition,  you could help us remind your [team/company] in weekly meetings, post reminders on internal channels etc.  Using statistics and visualisations from the web-app can be of good help.   
  • Arranging a social activity that enhances the topic and leverages the engagement in the Challenge can boost the outcome of the competition. Possibilities of building engagement is wide, here are some tips to leverage social engagement during a Ducky Challenge.
  • If participants need help, you can point them to the support center with our 24h open AI Chat  or Ducky Challenge FAQ. Ducky will answer support requests daily between 8-16 on work days at  support@ducky.eco.

How does the Ducky Challenge tool work?

Here is an introduction video on the web-app tool and how the competition works. This works well for a kick off event.
In short:  

  • Participants only register positive savings for [1-2 weeks/]. 
  • Participants pick from a pre-defined list of efficient climate friendly activities
  • All savings are average values, so everyone competes on an equal basis

What does it require to participate?

  • Log actions you do daily, and save CO2e for your team. These might be actions you already do, or some new ones you want to challenge yourself on!
  • Compete against other teams!
  • Takes less than 1 minute a day. 

How do participants join?

It's voluntary, team based and everyone will join through the same invitation link, that you will receive from your coordinator a week before the competition starts.
